VACANCY ANNOUNCEMENT: EXECUTIVE ASSISTANT IN THE EMBASSY OF RWANDA TO THE NORDICS

An opportunity has arisen for a dedicated professional to join the Embassy of Rwanda to the Nordics as the Executive Assistant to the Ambassador. The position will be for one year, with the possibility of extension. A 6-month probation period will be applied. 

ABOUT THE ORGANISATION:

The Embassy of the Republic of Rwanda to the Nordic countries is mandated to represent Rwanda in Sweden, Denmark, Finland, Norway, and Iceland, and to strengthen and enhance bilateral and economic relations, as well as friendships, with these Nordic countries. The embassy provides services to Rwandan nationals living in and visiting these countries, as well as to nationals of the Nordic countries visiting, working, and investing in Rwanda.

ABOUT THE ROLE:

This is a full-time position, which will be for one year, with the possibility of extension. 

The main responsibilities of the Executive Assistant will include:

  1. Assisting in conceptualizing, developing, and advising on strategic initiatives that support the embassy’s overarching mandate
  2. Performing research and presenting the results on given or self-initiated topics/projects.
  3. Seeking information and advising on bilateral cooperation opportunities in the Nordic countries, as well as advising on strategic partnerships and new projects.
  4. Assist the Ambassador in elaborating proposals and identifying strategic partnerships for Rwanda and for the embassy staff continuous capacity building.
  5. Maintaining and coordinating the schedule/Agenda of the Ambassador: scheduling, coordination, and travel planning, conference registrations.
  6. Providing all relevant briefings in advance of the Ambassador’s engagements (meetings, conferences, events, …)
  7. Processing outgoing emails / Correspondence, drafting letters and documents, as well as maintaining relations with all partners of the Embassy.
  8. Assist in preparing official visits for Rwandan Government officials traveling to the Nordics and do related correspondence
  9. Preparing content and follow-up of strategic meetings and minutes taking
  10. Assist in maintaining contact and organizing events with Friends of Rwanda
  11. In charge of archiving of all official documents in both hard and soft versions
  12. Preparing speeches, presentations, and lectures
  13. Assist in promoting Rwanda using the embassy's social media channels.
  14. Preparing activities periodic reports (weekly, monthly, quarterly, and annual) of the Embassy
  15. Seeking information and advice on influential think tanks/civil society organizations in the Nordics.
  16. Assist by providing analysis and reporting of current political affairs in the Nordics.
  17. Event management and planning, working closely with colleagues.

DESIRED SKILLS AND EXPERIENCE:

  • A bachelor’s degree or higher is desirable.
  • Excellent communication skills – both written and verbal.
  • Fluent in English and Kinyarwanda. Knowledge of Swedish and French is desirable.
  • Conversant with international politics and relations
  • Previous experience in proposal writing
  • Previous experience in communication and use of social media
  • Able to multitask, prioritize work, and meet tight deadlines.
  • A good team player with a proactive and enthusiastic attitude.
  • Mature and confident approach to work and challenges – solution-oriented.
  • Proficiency in Microsoft Office packages, including Word, Excel, and PowerPoint.
  • Strong organizational skills, excellent attention to detail, and the ability to work independently.
